Short Brief of the Company

Masika Ventures is a formalised umbrella entity that encompasses the shared group business services functions of our companies including Upendo Honey, Tanganyika Blue, Dark Earth Carbon and Halisi Agri. Representing a shared service hub, it seeks to leverage our experiences from one company to help another in order to streamline processes and drive efficiencies

Job description

1. To manage and grow the company documents’ management system and document database. This will include ensuring that additional checkpoints are defined to adjust responsibilities in the system (e.g., for document codes creation, informing that a document is under review, etc).
2. To support all departments to be aware of, use, and implement the documentation libraries and the “documents creation and updating” procedures
3. To create a schedule and monitor progress for all departments to complete the pending documentation – including within the frame of the company’s compliance plan.
4. To ensure that all needed documents are translated in Swahili/English.
5. To ensure that work instructions/signs/procedures/policies are available to the staff as needed.
6. ACA-54 (these are internal document codes) Documentation Database is up to date.
7. All documents listed in ACA-54 exist and are stored in the right location in the One Drive throughout libraries.
8. Procedure for Job Safety Analysis is updated, JSAs are written and implemented throughout departments.

Requirements:

1. University degree in communications, business management, or equivalent qualification and at least 1 year of experience.
2. Strong command of MS Office (Word, Excel, PowerPoint) in both English and Swahili.
3. Excellent organizational and time management skills.
4. Attention to detail and ability to maintain accuracy in documentation.
5. Strong written and verbal communication skills in English and Swahili.
