Zambia Cargo and Logistics Limited (ZCL) is a regional logistics service provider and wholly owned by the Government of the Republic of Zambia (GRZ) through the Industrial Development Corporation (IDC) with terminals in Tanzania (Dar Es Salaam), Walvis Bay (Namibia), and operating centre in Ndola, Zambia. Zambia Cargo and Logistics (ZCL) is inviting applications from suitably qualified Tanzanians to be considered for employment to fill vacant position listed hereunder:

1. Personal Assistant to Chief Executive Officer – 1 Post

(A) Required Qualifications
The candidate for this position must hold at least a degree in Public Administration, Business Administration, or equivalent from a recognized higher learning institution and with at least 3+ years of experience in an executive assistant or administrative support role, preferably in the logistics, transportation, or supply chain industry. Experience in supporting senior executives and managing complex schedules.

(C) Duties and Responsibilities

  • Provide high-level administrative support to the CEO including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.
  • Assist the Chief Executive Officer in the preparation of correspondences, memoranda, and reports.
  • Oversee the smooth operation of the executive office, ensuring that it is well organized and efficiently.
  • Coordinate with other departments, such as IT and facilities, to resolve any office-related issues.
  • Assist the CEO with special projects, including research, data analysis, and report preparation.
  • Providing daily Personal Assistance and administrative support to the Chief Executive Officer.
  • Take minutes of the Management meetings attended or conducted by the Chief Executive Officer and prepare implementation plan of the decisions. Follow up with responsible officers to ensure appropriate actions have been taken as agreed, before the next meeting.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Manage event logistics, including venue selection, catering, and travel arrangements for participants.
  • Ensure that all documentation is organized and easily accessible to the executive.
  • Plan and coordinate company events, conferences, and executive off-site meetings.
  • Assist Company Secretary in all administrative assignments.
  • Follow up of payment of the Chief Executive Officer’s expenses; processing of bills/invoices using the appropriate channel.
  • Advance planning and logistical support to Chief Executive Officer for meetings (e.g., preparation of weekly schedules of visits and meetings, compiling agenda, briefing papers, etc.), appointments with outside the company and within the company.
